HoneyBook already does a lot. Contracts, invoices, questionnaires, scheduling, automated workflows… it’s built to handle your entire client experience in one place. But there’s a ceiling to what HoneyBook can do on its own, and if you’ve ever caught yourself manually copying client details into a spreadsheet, re-entering lead info into your email marketing tool, or creating the same Google Drive folder every time you book a new project, you’ve already bumped into it.
That’s where Zapier with HoneyBook can help.
Zapier connects HoneyBook to thousands of other apps and automates the repetitive handoffs between them, so you’re not the one doing the copy-pasting anymore. But like any tool, it works best when you understand what it actually does, when you need it, and where people go wrong with it.
Let’s get into it.

Zapier is a workflow automation tool that connects apps that don’t natively talk to each other. You build a “Zap,” which is an automated workflow made up of two parts: a trigger (something that happens in one app) and an action (something Zapier does in another app as a result).

That’s one Zap. Simple, but genuinely useful.
HoneyBook has its own built-in automation features, and they’re solid for anything that happens entirely within HoneyBook, like sending a welcome email after a contract is signed or scheduling a follow-up reminder. Where HoneyBook’s native automations stop is at its own borders. They can’t reach into your Flodesk account to add a new subscriber. They can’t ping your team in Slack. And they can’t create a row in a Google Sheet.
That’s what Zapier with HoneyBook handles. It’s the bridge between HoneyBook and everything else in your tech stack.
One important thing to flag before we go further: the Zapier integration is only available on HoneyBook’s Essentials and Premium plans. If you’re on the Starter plan, you won’t have access to it. Also worth knowing: HoneyBook custom fields are not currently supported in the Zapier integration, so if your workflow relies heavily on those, keep that in mind as you plan.
Not every HoneyBook user needs Zapier. I want to be straight with you about that because the last thing you need is another tool in your stack that you’re paying for and not using.
You probably don’t need Zapier if:

The test is simple: if you’re doing the same manual data transfer more than a few times a month, Zapier can probably handle it for you.
Here are the Zaps that actually get used, based on what the HoneyBook community and Zapier’s own data show as the most popular connections.
When a new project is booked in HoneyBook, Zapier automatically creates a client folder in Google Drive. No more “let me go make that folder real quick” every time a contract gets signed. This is one of the most-used HoneyBook Zaps for a reason — it’s simple, it saves time, and it eliminates a step you’d otherwise have to remember.
When a new client is created in HoneyBook, Zapier adds (or updates) that contact in your email marketing platform. Flodesk, Mailchimp, ConvertKit, whatever you use. If the contact already exists, Zapier updates their info instead of creating a duplicate. This keeps your list clean without manual importing.
When a new inquiry comes in or a project is booked, Zapier sends a message to a Slack channel. If you work with a team, this means everyone knows the moment a new client signs without you having to forward anything or make an announcement.
When a new client is created or a payment is received in HoneyBook, Zapier logs the details in a Google Sheet. Useful for tracking leads, monitoring monthly revenue, or keeping a record your accountant can access without touching your HoneyBook account.
When a project is booked in HoneyBook, Zapier creates a new project or task in Asana, ClickUp, or another tool. This is especially useful for teams who manage deliverables outside of HoneyBook once the client is signed.
Same concept as Google Drive, just for teams using Dropbox or OneDrive for file storage.
These aren’t flashy automations. They’re the unglamorous, repetitive handoffs that eat time quietly every week. Zapier handles all of them.
A few specific connections are worth calling out because they come up a lot.
HoneyBook and QuickBooks HoneyBook has a native QuickBooks Online integration built directly into the platform, so you don’t actually need Zapier for this one. The native integration syncs invoices and payments from HoneyBook into QuickBooks automatically. If you’re trying to connect these two specifically, set that up through HoneyBook’s Tools section rather than through Zapier. It’s more reliable and purpose-built for bookkeeping. Google Calendar HoneyBook also has a native Google Calendar integration, so again, Zapier isn’t required here. Your HoneyBook scheduling sessions can sync directly to Google Calendar without a third-party tool in between.
Email marketing tools This is where Zapier earns its place. HoneyBook doesn’t have native integrations with most email marketing platforms (the exception being Flodesk, which does have a direct HoneyBook integration as of 2025). For platforms like Mailchimp, ConvertKit, ActiveCampaign, or Kit, Zapier is the connector you need to get new clients and leads from HoneyBook into your email list automatically.
The broader point: before you build a Zap, check whether HoneyBook already has a native integration for what you need. Native connections are always preferable because they’re more stable and require less maintenance than Zapier workflows.

This is the part most people skip and later regret.
Automation doesn’t fix a broken process. It speeds one up. So if your current workflow is already confusing or inconsistent, adding Zapier to the mix just means the confusion happens faster and across more tools at once.
A few things to get right before you build Zaps:
Define the process first. What exactly should happen, in what order, every time a specific trigger fires? Write it out before you touch Zapier. If you can’t explain the process clearly in plain language, you’re not ready to automate it yet.
Start with one Zap. Build it, test it, watch it run for a couple weeks before adding another. Stacking multiple Zaps before you’ve confirmed each one works is how people end up with duplicate records and data in the wrong place.
Know your task limits. Zapier charges based on tasks. Each time a Zap performs an action, it uses one task from your monthly limit. The free plan includes 100 tasks per month, which runs out quickly if your Zaps fire frequently. The Professional plan starts at $29.99/month for 750 tasks. Factor this into your cost before assuming Zapier is free to run.
Build in a review habit. Zapier is not fully “set it and forget it.” Apps update, fields change, and Zaps can break quietly without you knowing. Check your Zap activity logs once a month so you catch errors before they snowball.
Setting up a Zap without testing it is how mistakes get automated at scale. Here’s how to do it right.
Always use Zapier’s built-in test step. Before you publish any Zap, run the test. Zapier will show you exactly what data would have been sent and what the action would have done. If the test shows the wrong data in the wrong field, fix it before the Zap goes live.
Check your trigger data carefully. The data HoneyBook sends to Zapier depends on what’s in that project or contact record at the time the trigger fires. If a field is blank in HoneyBook, it’ll be blank in Zapier’s output too. Don’t assume data will be there if you haven’t confirmed it is.
Test with a real project, not a dummy one. Zapier asks you to select an existing HoneyBook project to use as sample data during setup. Use a recent, complete project so you’re testing with realistic data rather than an empty record.
When a Zap breaks, check the task history first. In Zapier, go to your Zap’s task history and look at the failed run. Zapier usually tells you exactly which step failed and why. Most issues come down to a field mapping problem or an app authentication that expired and needs to be reconnected.
Zapier is genuinely approachable for basic Zaps. If you want to connect HoneyBook to Google Drive or add new clients to a Mailchimp list, you can absolutely set that up yourself with a free Zapier account and a free afternoon.
Where it gets more complicated:
If your HoneyBook setup isn’t clean, adding Zapier on top of it doesn’t help. It’s the same as automating a disorganized filing cabinet. The folders still don’t make sense, they just get misfiled faster.

Zapier with HoneyBook is worth it when you have a clear, repeatable process that crosses into other tools and you’re tired of being the one who moves the data manually. It’s not worth it when you’re still sorting out the basics, haven’t defined your process, or just want to feel like you’re doing something productive with your tech stack.
Get your HoneyBook foundation solid first. Then add Zapier where it actually solves a specific problem. That’s the order that works.
