You send the proposal. Then you wait.
Maybe they open it right away. Maybe you see that they’ve viewed it and think, Okay, surely they’re about to book. Then a day passes. Then another. Suddenly, you’re writing a follow-up email and wondering whether you said something wrong.
Sometimes the problem isn’t your service. It’s the proposal.
A strong HoneyBook proposal should make the decision to hire you feel simple. Your potential client should understand what they’re getting, what it costs, and exactly what they need to do next without digging through paragraphs of copy or sending you three more emails.
And because HoneyBook lets you combine services, contracts, invoices, payments, and even scheduling within Smart Files, your proposal can do a lot more than send someone a pretty PDF.
In short: A high-converting HoneyBook proposal clearly explains your offer, makes pricing easy to understand, answers the questions holding someone back, and gives them an obvious path to book.
Before we get into what that looks like, hi! I’m Karly. I’m a HoneyBook Pro who has worked inside 300+ HoneyBook accounts, helping business owners build systems that make booking and managing clients easier. If you know your HoneyBook setup could be doing more of the heavy lifting, explore my HoneyBook services to see how I can help.

If people regularly inquire, seem excited, and then disappear after receiving your proposal, look at the experience from their side.
They’re probably asking themselves a few basic questions:
Your HoneyBook proposal needs to answer those questions quickly.
HoneyBook describes a proposal as a way to define the scope of work and help clients understand what your services include and cost. A typical proposal might include your services, deliverables, pricing, an introduction, and other information that helps someone make a decision.
That means your proposal isn’t the place to make people work harder.
More information doesn’t automatically make a proposal more persuasive. Clearer information does.
Your proposal is only one part of the experience that helps someone feel ready to book. If you want to zoom out and look at the full journey, learn how to build a HoneyBook client experience that sells for you.
Your potential client has already visited your website, filled out your inquiry form, and possibly spoken with you. Your proposal doesn’t need to introduce your business like they’ve never heard of you.
Instead, use the first page to confirm that they’re in the right place.
A strong opening might include:
HoneyBook Smart Files let you customize colors, fonts, layouts, images, text, and other visual elements, so your proposal can feel consistent with the rest of your brand.
But you don’t need to fill every available space.
If your website is clean and simple, your HoneyBook proposal template should probably be clean and simple too. If your brand is warm and personality-driven, bring some of that personality into the proposal.
The goal is recognition and consistency. Your client shouldn’t feel like they left your website and suddenly landed inside a completely different business.
One of the easiest places to lose someone is your service description.
Business owners know their offers really well. Because of that, it’s easy to write descriptions that make perfect sense to you but leave a potential client wondering what they’re actually buying.
For example, a photographer might list:
8-Hour Wedding Collection
Those details matter, but they don’t tell the whole story.
You could add a short sentence explaining who the package is best for or why those features matter. Maybe eight hours is ideal for couples who want coverage from getting ready through the main reception events. Now the client has context.
The same applies to coaches, designers, planners, consultants, and other service providers.
For each service in your HoneyBook proposal, ask:
What does my client need to know to confidently choose this option?
You don’t need a huge paragraph for every package. In fact, that can make comparing services harder.
Give them enough information to understand the difference between their options and decide which one fits.

Pricing shouldn’t feel like a scavenger hunt.
If your client has reached the proposal stage, they need to understand what they’re paying and what that price includes.
Keep package names, descriptions, prices, quantities, add-ons, and payment expectations easy to scan. If there are choices to make, make the differences between those choices obvious.
HoneyBook’s service selection tools allow clients to select services within a Smart File. Those selections can then flow into connected invoices and contracts.
That opens up some useful possibilities.
For example, you could create a HoneyBook proposal where your client selects their main service and then chooses relevant add-ons. Instead of emailing you to say, “We want Package B, plus the extra hour,” they can make those selections inside the file.
The important part is keeping those choices manageable.
If your proposal has three packages, seven add-ons, and several paragraphs explaining every possible payment option, the client still has a lot to sort through.
HoneyBook can also let your client choose their own payment plan. You set the maximum number of payments they can choose and whether paying in full is an option. Then, your client can select the payment plan that works for them before making their first payment.
Make the decision as easy to understand as the payment itself.
A HoneyBook proposal is built as a Smart File, which means you can create a connected booking experience instead of sending several separate documents back and forth.
Depending on how you build your proposal, your client can:
You can also add other elements to the Smart File, including text, images, videos, questions, and scheduling.
The goal is to think about what your client needs to do to officially book and build the proposal around those steps.
If they need to select a package, sign a contract, and make their first payment, you can create a proposal that guides them through those actions in order. They don’t have to wait for you to manually send the next piece each time they complete a step.

Every extra step creates another opportunity for someone to stop.
Imagine your client has already decided to hire you, but your process requires them to:
Open your proposal. Email you their package choice. Wait for your response. Receive a contract. Sign it. Wait for an invoice. Pay the retainer. Then email you again to schedule their kickoff call.
That’s a lot of tabs (and a lot of chances for someone to get distracted).
HoneyBook specifically allows businesses to combine common booking steps within Smart Files. For example, services can be connected with invoicing, while contracts, payments, and scheduling can also be incorporated into the experience.
You don’t need to automate every human interaction out of your business.
You do want to remove unnecessary waiting.
Once your client says yes, ask yourself:
How many actions does it take for them to become officially booked?
Then look for steps you can combine, simplify, or remove.
Once your client is ready for the next step, scheduling shouldn’t create another round of emails. Learn how to set up and use the HoneyBook scheduler to make booking calls, consultations, and sessions easier.
A proposal can look beautiful and still make booking harder than it needs to be.
A few things I’d check first:
Too much copy. Your proposal doesn’t need to repeat your entire website. Give clients the information they need at this stage of the decision.
Vague service descriptions. “VIP Package” might sound nice, but clients still need to know what makes it different from your other options.
Confusing pricing. Make it easy to see what each option costs and what’s included.
Too many choices. More options can create more decisions. Be intentional about what you put in front of someone.
No obvious next step. Don’t make a client reach the bottom and wonder, “Okay… now what?”
A clunky handoff after the proposal. If someone chooses a service and then has to wait for you to manually send three more things, see whether those steps actually need to be separate.
And please, test your HoneyBook proposal before sending it to a real client.
HoneyBook allows you to preview and send a test Smart File to yourself so you can review the client experience before sharing it. Check the layout, copy, buttons, pricing, and flow on more than one screen size.
Click through it like you know absolutely nothing about your business.
That perspective can catch a surprising number of problems.

Yes. HoneyBook allows you to save and reuse proposal templates, then personalize them for individual leads or clients. This can save time while still giving you room to customize important details for each project.
Yes. HoneyBook can track when a proposal has been opened, which can help you understand where a lead is in the process and decide when a follow-up makes sense.
A HoneyBook proposal can combine your services, contract, invoice, and payment into one Smart File. When an invoice is included, your client moves through the required pages and actions before reaching the payment page to make their payment.
HoneyBook Smart Files can be shared by email or direct link. HoneyBook also offers access settings, including verification codes for certain client actions and view-only sharing when you don’t want the recipient to take action on the file.
In HoneyBook, think of the proposal as the full booking experience that brings these pieces together. Your proposal can include your service selections, contract, invoice, and payment in one Smart File, so your client can review what they’re booking, sign the agreement, and pay without waiting for separate documents.
Your HoneyBook proposal doesn’t need to win an award for the prettiest Smart File in your industry.
It needs to help the right client make a decision.
Start with a strong first impression. Explain your services clearly. Make your pricing easy to understand. Then use HoneyBook’s tools to create a logical path from I think I want this to I’m officially booked.
If you’re looking at your current proposal and realizing the flow could use some work, I can help. Explore my HoneyBook services to see how we can build a HoneyBook setup that supports your actual client process.
