“Tuesday works for me. What time?”
“I can do 2:00.”
“Shoot, I just booked something at 2:00. What about 3:30?”
“I’m booked then. Wednesday?”
Five emails later, you’ve somehow spent more time booking the call than you’ll spend on the actual call.
That’s exactly the kind of small admin task that quietly eats up your week.
The HoneyBook scheduler gives clients a way to choose from the times you’ve already decided you’re available. They pick a time, confirm the meeting, and it gets added to your HoneyBook Calendar. You don’t have to keep checking your calendar and typing out available times every time someone wants to meet. (HoneyBook explains how scheduling works here.)
But setting up a scheduler and setting it up well are two different things.

Scheduling one meeting manually doesn’t seem like a big deal.
That’s the problem.
You open your calendar. Find a few times. Send them over. Wait for a response. Check your calendar again because something may have changed. Send another email. Confirm the final time.
Now repeat that for discovery calls, consultations, project meetings, onboarding calls, and every other appointment your business needs.
A HoneyBook scheduler removes most of those little decisions from your plate.
You decide when a certain type of meeting can happen ahead of time. Your client sees the available options and chooses one that works.
HoneyBook also updates the options based on your real-time availability. So if part of your normal Tuesday availability is already booked, the client only sees the remaining open times.
That’s much cleaner than, “I think I can do Tuesday at 10. Let me check.”
A HoneyBook scheduler is an online scheduling tool inside HoneyBook that lets leads and clients book meetings based on your set availability. You can create different session types, connect personal calendars, send scheduling links, and use scheduling within other parts of your HoneyBook process.
Before you start creating every meeting you’ve ever had as a session type, look at how people actually move through your business.
Ask:

HoneyBook lets you control things like session duration, availability, instructions, and how the meeting takes place. You can also add buffer time and limits around how far in advance clients can book or cancel. (HoneyBook lists its current scheduling options here.)
And yes, those details matter.
If you need 15 minutes after a consultation to make notes, don’t let another person book you the second that call ends. Give yourself the buffer.
If you only want discovery calls on Tuesday and Thursday afternoons, set those hours instead of handing over your whole workweek.
Your scheduler should protect your calendar, not give everyone unlimited access to it.
Setting up HoneyBook shouldn’t mean clicking around and hoping you got it right. Learn how to set up HoneyBook with a clear plan for your workflow, client experience, and the systems that keep everything moving.
HoneyBook calls the different meetings you create session types.
Each session type can have its own settings, which means you don’t need one giant booking link trying to handle every possible meeting.
For example, your business might need:
The exact list depends on your services.
A photographer and a copywriter probably shouldn’t have identical HoneyBook setups (and this is why copying somebody else’s workflow from a YouTube video can get messy fast).
Think about the purpose of each meeting.
A quick discovery call may only need 20 minutes and limited availability. A paid consultation might need an hour, intake information, and different booking instructions.
If you add your HoneyBook scheduler to a Smart File or lead form, you can also add question blocks to collect information before the meeting. That can be helpful when you need a few details before getting on the call.
Keep the questions useful. Your client shouldn’t have to complete a small autobiography just to schedule 20 minutes with you. And if you’re sending the direct scheduler link, keep in mind that you won’t have those added question blocks.
This is one of those settings you don’t want to half-ass.
Your HoneyBook scheduler can work with an external calendar so existing events block off time that shouldn’t be available for booking.
HoneyBook currently supports calendar syncing with external calendars, and its scheduling documentation specifically explains that overlapping events on a synced calendar can block those times from client booking.
So before you start handing out your scheduler link, make sure the calendar that contains your real commitments is connected correctly.
Then test it.
Put a fake event on your connected calendar during a time you’d normally accept meetings. Check the scheduler as if you were the client. Make sure that time disappears.
It takes a few minutes and can save you from explaining why you accidentally booked a client call during an appointment that was already sitting on another calendar.
This is where your scheduler starts becoming part of a bigger system instead of another random link you have to remember to send.
HoneyBook lets you share scheduling in several ways. You can send a direct session link, include scheduling in a Smart File, or add a scheduler block to a lead form.
That gives you options for where scheduling belongs in your client process.
For example, you may want a lead to schedule a consultation after submitting an inquiry. A booked client may need to choose a kickoff call after completing earlier onboarding steps.
The goal isn’t to automate something just because HoneyBook gives you the option.
The goal is to put scheduling at the point where it makes sense for the client.
That’s how I approach a HoneyBook setup service. I’m looking at the whole path someone takes through the business, then deciding where Smart Files, scheduling, emails, and HoneyBook automations belong. Your HoneyBook workflows should connect those pieces in a way that makes sense for both you and your clients.

Booking the meeting is only step one.
People also need to remember they booked it.
HoneyBook offers automated meeting reminders, and clients can reschedule if the original time stops working for them.
That means you don’t need another calendar reminder telling you to remind them about tomorrow’s call.
Set up reminders that give people enough notice to plan for the meeting or make a change if needed.
Also, give clients clear instructions.
If it’s a video call, make the meeting details easy to find. If they need to prepare something first, tell them. If there’s a specific cancellation or rescheduling expectation, make that clear too.
Good automation still needs good communication.
A HoneyBook scheduler should make booking easier. If someone has to stop and figure out what you want them to do, the setup needs another look.
A few mistakes I’d watch for:
A polished scheduler link can’t fix a messy client process by itself.

How you arrange those pieces depends on your process. For example, you may want someone to choose a consultation time and complete the required booking steps within the same experience instead of sending them to several different places.
Yes, but it depends on how you share your scheduler. If you add the scheduler to a Smart File or lead form, you can add question blocks to collect information as part of that experience.
If you send someone the direct scheduler link, you can’t add and control those extra question blocks the same way. So if you need information before a consultation or discovery call, think about whether the scheduler belongs inside a Smart File or lead form instead.
Yes. HoneyBook supports video conferencing options for scheduled sessions, including Zoom and Google Meet. Your meeting method can be configured as part of the session type, so clients know how the meeting will happen when they book.
Yes. You can control more than your available days and hours. HoneyBook also provides scheduling settings for things like booking windows, giving you more control over how soon or how far ahead someone can grab a spot.
That’s useful if you don’t want to wake up to a same-day discovery call you weren’t expecting (hard pass).
HoneyBook gives you a direct link for a session that you can share with potential clients. That means you can direct people to the appropriate booking option from places outside an individual HoneyBook project.
Before adding a scheduling link everywhere, though, think about who should have access to that meeting. Some calls make sense for new leads, while others should only be available to booked clients.

The HoneyBook scheduler can cut down on the back-and-forth it takes to book a meeting, but the bigger win comes from fitting it into the rest of your client process.
Set up session types that match your services. Protect the hours you actually want to work. Sync the calendars you rely on. Add useful buffers. Use reminders. Then decide exactly where booking belongs in the client journey.
That’s when scheduling stops being another task you manage and starts working as part of your HoneyBook system.
